About the role

We are seeking an experienced Front of House – Studio Host to join our New York studio. This role is varied and focused on quality customer service and administration support. This position requires a well-organized, friendly and professional individual with excellent communication skills. The role will oversee and ensure the smooth running of the studio, including Front of House and reception duties as required.

Key responsibilities:

  • Act as concierge to the studio to create a sense of hospitality within the office.
  • Welcoming of visitors & clients, handling enquiries pleasantly and efficiently both in-person and over the phone.
  • Providing day to day operational support to the Studio.
  • Manage the studio facilities to ensure a high standard of presentation and function.
  • Keep meeting areas and conference rooms tidy and ensure kitchen is clean and organized; light housekeeping.
  • Receive, sort, and distribute mail; collect outgoing mail.
  • Act as point of contact for vendor maintenance and office equipment repairs.
  • Order couriers/FedEx for incoming/outgoing packages.
  • Maintain and update studio emergency procedures and emergency contact list.
  • Maintenance of first aid & fire warden training.
  • Prepare the office for business in the morning.
  • Coordinate internal office catering for meetings, clients visiting, social hours, biweekly meetings.
  • Schedule onboarding procedures of new staff to the studio.
  • Provide Executive Assistant support to Principals.
  • Manage and maintain conference room calendars; assist with scheduling/coordinating meetings.
  • Assist in coordinating in office continuing education meetings for staff.
  • Coordinate with building management for facilities issues (guest access, Janitorial, etc.)
  • Assist with miscellaneous finance administration tasks (including monthly leave spreadsheet for payroll and AMEX reconciliation).
  • Oversee travel and accommodation bookings for the Studio.
  • Monitor office inventory (supplies, pantry, shipping, stationarity, shipping, etc).
  • Manage business cards for staff and new employees.

Dependable, organized, and self-motivated, you are goal-oriented and driven to succeed. While you work effectively on your own, you also bring a collaborative, team-player attitude to everything you do.

You will be able to demonstrate:

  • Experience with Microsoft Office Suite.
  • Outlook calendaring.
  • College degree preferred.
  • Notary license is preferred.
